HUD staff PII collected in ServiceNow

If you are a current HUD employee or contractor, HUD will store your personal information in the new ServiceNow system. The records include Full Name, Phone Number, Email, User Verification PIN, Device Identifier, IP/MAC address, Work and Home Address, Employee Identification Number, and Employment Status/History.

Data retention timeline for user accounts

HUD will keep certain ServiceNow records under General Records Schedule rules. For systems requiring special accountability, records must be destroyed or deleted 6 years after the user account is terminated or a password is altered, or when no longer required for business use, whichever is later.

How to request or contest your records

If you want to see or contest records about yourself, you must send a written request to HUD at 451 7th Street SW, Washington, DC 20410-0001 and include your full name, current address, and telephone number. You must also provide either a notarized statement or an unsworn declaration made under 24 CFR 16.4 for verification.

Security controls and FedRAMP hosting

ServiceNow will run in HUD's enterprise environment and in a FedRAMP Moderate cloud hosting environment with encryption at rest and in transit, firewalls, multi-factor authentication, and PIV card sign-in required. HUD says these safeguards limit access to authorized users only.
