The VA's updated system now covers current and former employees, trainees, contractors, subcontractors, volunteers, and others performing services for VHA. If you work for or perform services for VHA in any of these roles, records about workplace injuries and illnesses about you may be entered and maintained in the new ESIIP system.
Social Security number removed from records
The VA updated the Categories of Records and Retrieval sections to remove the Social Security number from the listed items and retrieval procedures. This means the system no longer lists Social Security number in those specific record fields and retrieval methods.
Records stored in VA Azure cloud (FedRAMP)
VA states records and backups are stored in the VA Azure Cloud and that VA Enterprise Cloud storage conforms to VA Directives 6500 and 6517 and is authorized at the high-impact level under the Federal Risk and Authorization Management Program. Access is limited by encrypted site-to-site connections and VA trusted internet connection controls.
Expanded data sharing for breach response and fraud
The notice adds and clarifies routine uses allowing VA to share records with other Federal agencies to help prevent or detect fraud (e.g., CMS or USPS), to respond to or remediate suspected or confirmed data breaches, and to share records with former employees or contractors (or their representatives) in litigation about health care provided during employment or contract.
System will not submit Workers' Compensation claims
VA removed references to Workers' Compensation; the updated notice states the system has no function for submitting Workers' Compensation claims. You cannot file Department of Labor workers' compensation claims through this ESIIP system.
Data reported annually to Bureau of Labor Statistics
The system will include information required for annual occupational injury and illness submissions to the Bureau of Labor Statistics, including employee name, occupation, date of birth, date of hire, sex, and incident details. Those data elements will be used for BLS reporting.
