VA OIG stores complaint files electronically
The VA Office of Inspector General will store Hotline complaint records electronically in its Enterprise Management System and legacy Master Case Index, with backups on electronic media and cloud storage; some files may also be kept in hard copy. Records may include names, home and work addresses, email, phone numbers, dates of birth, and Social Security Numbers as listed in the system.
Access and contesting rules tightened; exemptions noted
To get access to records about you, you must contact the system manager in writing with your full name, address, phone, a signature, proof of identity (for example, a state driver's license), and a description of the records sought. Requests to contest or amend records must state what is contested and the proposed amendment, and the notice states that most records in this system are exempt from review and amendment under 5 U.S.C. 552a (j) and (k).
Wide routine disclosures allowed for investigations
The notice explicitly authorizes routine disclosures of Hotline records to many recipients, including Members of Congress, law enforcement at all levels, the Department of Justice, contractors, EEOC, FLRA, MSPB, NARA, other Federal agencies for background checks, and state licensing or professional disciplinary boards. Records in the Hotline system will be retained and disposed of in accordance with the Archivist-approved Records Control Schedule DAA-0015-2013-0004.

Unless VA receives public comments that change the notice, the modified system of records will become effective a minimum of 30 days after publication in the Federal Register (publication date June 16, 2026).
